Invenire, Inc. ("Invenire", "we", "us", or "our") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our AI-powered video interview platform and related services (the "Services").

This Privacy Policy applies to: (a) employers, recruiters, and hiring professionals who use our platform ("Customers"); (b) job candidates who participate in interviews conducted through our platform ("Candidates"); and (c) visitors to our website.

Please read this Privacy Policy carefully. By using our Services, you acknowledge that you have read and understood this Privacy Policy.

1. Information We Collect

1.1 Information from Customers

When you register for or use our Services as a Customer, we collect: (a) Account Information — name, email address, phone number, company name, job title, and billing information; (b) Job Posting Data — job descriptions, requirements, and evaluation criteria you provide; (c) Usage Data — how you interact with our platform, features used, and interview configurations; and (d) Communications — correspondence with our support team.

1.2 Information from Candidates

When you participate in an interview as a Candidate, we collect: (a) Identity Information — name, email address, and contact information provided by you or the Customer; (b) Resume/CV Data — employment history, education, skills, and qualifications from submitted documents; (c) Interview Recordings — video and audio recordings of your interview session; (d) Interview Transcripts — text transcriptions of your spoken responses; (e) Evaluation Data — AI-generated scores, assessments, and analysis of your interview performance; and (f) Technical Data — device information, IP address, browser type, and session data.

1.3 Biometric Information

Our video interview technology captures visual and audio data that may include biometric identifiers such as facial geometry and voice characteristics. This data is used solely for the purpose of conducting and evaluating the interview. We do not use biometric data for identification purposes separate from the interview context, and we do not sell or share biometric data with third parties for their own purposes.

1.4 Information Collected Automatically

When you access our Services, we automatically collect: (a) log data (IP address, browser type, pages visited, time spent); (b) device information (device type, operating system, unique identifiers); and (c) cookies and similar technologies as described in Section 7.

2. How We Use Your Information

We use collected information for the following purposes:

To Provide the Services: Conducting AI video interviews, generating transcripts, producing evaluation scores and assessments, detecting potential fraud indicators, and delivering results to Customers.

To Improve Our Services: Analyzing usage patterns, developing new features, improving AI model accuracy, and enhancing user experience.

To Communicate: Sending service-related communications, responding to inquiries, and providing customer support.

For Security and Fraud Prevention: Protecting against unauthorized access, detecting suspicious activity, and maintaining platform integrity.

For Legal Compliance: Complying with applicable laws, responding to legal requests, and enforcing our terms.

For AI Model Training: Using anonymized and de-identified interview data to improve our AI models and algorithms. See Section 5 for details.

3. How We Share Your Information

3.1 With Customers (for Candidates)

If you are a Candidate, your interview recordings, transcripts, and evaluation results are shared with the Customer who invited you to interview. The Customer is responsible for their own use of this information in compliance with applicable laws.

3.2 With Service Providers

We share information with third-party service providers who assist in operating our platform:

All service providers are contractually obligated to protect your information and use it only for the purposes we specify.

3.3 For Legal Reasons

We may disclose information: (a) to comply with legal obligations; (b) to respond to lawful requests from public authorities; (c) to protect our rights, privacy, safety, or property; (d) to enforce our agreements; or (e) in connection with a merger, acquisition, or sale of assets.

3.4 We Do Not Sell Your Information

We do not sell personal information to third parties. We do not share personal information with third parties for their own direct marketing purposes.

4. Data Retention

4.1 Customer Data

We retain Customer account information and associated data for as long as the Customer maintains an active account, plus sixty (60) days following account termination to allow for data export.

4.2 Candidate Interview Data

Identifiable Candidate interview data (recordings, transcripts, and evaluation results) is retained for the duration of the Customer's subscription plus sixty (60) days. Customers may request earlier deletion of specific Candidate records.

4.3 Anonymized Data

We may retain anonymized and de-identified interview data indefinitely for the purpose of improving our AI models and services. Anonymized data cannot be used to identify any individual.

5. AI and Automated Decision-Making

5.1 How We Use AI

Our platform uses artificial intelligence to: (a) conduct video interviews through an AI avatar; (b) transcribe spoken responses; (c) evaluate interview responses and generate scores; (d) detect potential indicators of resume fabrication or AI-assisted responses; and (e) generate interview questions based on job requirements.

5.2 Human Oversight

AI-generated evaluations are designed to assist, not replace, human decision-making. Our Customers are required to maintain meaningful human oversight of all hiring decisions. The final decision to hire, reject, or advance any Candidate is made by humans, not our AI systems.

5.3 AI Training

We use anonymized interview data to improve our AI models. Before data is used for training: (a) all identifying information is removed (names, contact details, company information); (b) data is aggregated with other anonymized data; and (c) the resulting dataset cannot be used to re-identify individuals.

5.4 Limitations

AI systems have inherent limitations and may produce errors or biased outputs. We continuously work to improve accuracy and reduce bias, but we cannot guarantee error-free results. Users should review AI outputs critically and not rely on them as the sole basis for decisions.

6. Your Rights and Choices

6.1 For All Users

Depending on your location, you may have the right to: (a) Access — request a copy of the personal information we hold about you; (b) Correction — request correction of inaccurate information; (c) Deletion — request deletion of your personal information; (d) Portability — receive your data in a portable format; (e) Opt-out — opt out of certain uses of your information; and (f) Non-discrimination — not be discriminated against for exercising your rights.

6.2 For Candidates

If you are a Candidate, please note that your interview data is provided to us by the Customer who invited you to interview. To exercise your privacy rights, you should first contact that employer directly. If you need assistance, you may also contact us at privacy@invenire.ai.

6.3 For Customers

Customers can access, export, and delete their data and Candidate data through our administrative dashboard. For additional assistance, contact support@invenire.ai.

6.4 How to Exercise Your Rights

To exercise your privacy rights, contact us at privacy@invenire.ai or call (317) 520-2557. We will respond to verifiable requests within the timeframes required by applicable law (typically 30-45 days).

7. Cookies and Tracking Technologies

We use cookies and similar technologies to: (a) maintain your session and authentication; (b) remember your preferences; (c) analyze how our Services are used; and (d) improve performance and security. You can control cookies through your browser settings, but disabling certain cookies may affect functionality.

8. Data Security

We implement appropriate technical and organizational measures to protect your information, including: (a) encryption of data in transit (TLS 1.2+) and at rest; (b) access controls and authentication requirements; (c) regular security assessments; (d) employee training on data protection; and (e) incident response procedures. While we strive to protect your information, no method of transmission or storage is 100% secure.

9. Data Location and Transfers

Your information is stored and processed in the United States. If you are located outside the United States, by using our Services you consent to the transfer of your information to the United States. We implement appropriate safeguards for international data transfers in compliance with applicable law.

10. Children's Privacy

Our Services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children. If we learn that we have collected information from a child, we will delete it promptly.

11. State-Specific Privacy Rights

11.1 California Residents

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA), including: the right to know what personal information we collect, sell, or share; the right to delete your personal information; the right to opt out of the sale or sharing of personal information (we do not sell your information); the right to correct inaccurate information; and the right to limit use of sensitive personal information.

11.2 Virginia, Colorado, Connecticut, and Other States

Residents of states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, and others) may have similar rights to access, delete, correct, and port their data, as well as opt-out rights. Contact us to exercise these rights.

11.3 Illinois Residents (BIPA)

Our video interview technology may capture biometric identifiers. We do not sell, lease, or trade biometric information. Biometric data is retained only for the duration of the interview relationship plus sixty (60) days, or as required by law. You may contact us to request deletion of biometric data.

12. Changes to This Privacy Policy

We may update this Privacy Policy from time to time. We will notify you of material changes by posting the updated policy on our website and updating the "Last Updated" date. Your continued use of our Services after changes become effective constitutes acceptance of the updated policy.
